Wild Apricot Cheat Sheet #15 - How to Bulk Print Wild Apricot Invoices with Integromat

Hi, my name is Alex Sirota, and I'm going to introduce you to the bulk Wild Apricot invoice printer. You can create one or more custom HTML invoices with all the details of your Wild Apricot invoices, and then deposit them into Dropbox, or you could change it to use any service, including email.

[00:00:20] The way that the scenario works is it uses four Wild Apricot modules. The first one is to get the account details of your account, which is the name of your organization. The next step gets a list of invoices. You can go back a month or several months, or maybe multiple years to print invoices. The nice thing about this feature is you can also check unpaid invoices.

[00:00:43] Once you've got a list of invoices, we're going to get the invoice details and we're going to iterate this invoice list. This will then iterate and go through each invoice and create information about the invoice .

[00:00:55] Finally, we need to find information about who the invoice is for. And so each invoice has a contact associated with it. It's usually a member for their organization. And so now we're going to go and grab the contact ID from the invoice details result.

[00:01:08] At this point we've got information about the account. We got a list of invoices that fit the criteria. We've got information about the invoices , including all the details on the invoice. And then information about who the invoices are for. We're going to use the iterator tool to iterate through the order details. In Wild Apricot, this could be a membership application or renewal, it could be an online store order. It could be a set of taxes.  An invoice could have one or several invoice order details.

[00:01:38] The iterator is iterating through this particular array that has one or more items in it. And the interesting thing we're doing with this array is using the table aggregator to create a table, which is usually what an invoice has, is a table of order details.  And this iterator module is going through and selecting particular parts of the order details. We're using the value, the notes, the order detailed type of information from from the invoice.

[00:02:09]And we're doing something interesting here is, we are trying to create an HTML table. We're actually taking each row from the order details and creating a cell separator. This is an end cell , and this is an open table cell value.  We're also using a closed cell and a closed row and an open row as a separator. This technique allows you to  build a list of cells in a table.  It's kind of a neat technique the table aggregator has, which you can create some interesting formatting for HTML or for potentially a spreadsheet.

[00:02:40] Finally, as this iterator is working, it's iterating all of these arrays on each invoice. And now we're going to compose a string. This is actually where we use HTML. This is where we assemble all of the details for each invoice that we've accumulated.

[00:02:53] We've got a document number that's coming from the invoice details.  We've got the domain name, which is the URL of the website. And we're even loading a logo so you can put the logo of their organization inside of your invoice. You can create a dynamic link to this invoice by using this information . And then we've got all the details of the organization. What type of order it was the invoice number. We format that the date of the invoice using the format date function.  And then we create a format of the invoice.

[00:03:23] So you have first name, last name, organization, email. We're creating this table and we're going to use that aggregated table in the result of that table aggregator. We've opened up the table row so that this table aggregator fits nicely into this formatted HTML table. You could do this with CSS and all kinds of other nice way you can find , and then put your variables where you want them. Finally, we're formatting the number, which is a a currency field and a formatting with two decimal points.

[00:03:55] We're making sure that this looks really nice and creating the public memo. And then creating the URL to view this invoice online.

[00:04:02] The last step of the scenario is simply where to deliver the invoice. We're uploading the file into Dropbox and naming the file dynamically so that you can have a unique file name. What I'm going to show you next is what it looks like when it's actually generated.

[00:04:16]Here's an example of a bunch of invoices that we had for one of our clients. You could see there's an invoice number here. And if we open this up in the HTML, you'll see that there is a a nice invoice.

MCABC Modernizes Online Presence with Wild Apricot and WordPress

Since April 2020, NewPath staff and developers have been working on an ambitious digital transformation project for the Mechanical Contractors Association of British Columbia. MCABC executive director Kim Barbero and project manager Kaylee Sarich led a project that resulted in a new set of strategic goals and tactics. MCABC worked with a marketing agency to create a new brand for MCABC which included a new set of strategic pillars, a new logo and style guide. NewPath Consulting was tasked with implementing a website and association management system that delivered on the revitalized strategic direction of MCABC.

Project Objectives Aligned to New Business Strategy

MCABC asked NewPath consulting to create a digital platform to enable the organization to grow their major business objectives which to date have been hampered by disconnected information systems and lack of a cohesive brand identity. The main objectives of the project included:

  • a unified, mobile-friendly membership experience for existing members
  • a 360-degree customer data platform for each member company and their employees
  • integrated marketing capabilities to prospective member companies and employees
  • seamless ecommerce engine to sell events, courses and materials
  • self-service online jobs portal for prospective employers and employees or contractors
  • offer MCABC sponsorship to members which include banner ads on the website and in email newsletters
  • increase the capacity and productivity of MCABC marketing and operational staff

Vast, Complex and Exciting Requirements

The business requirements for the project were vast, complex and exciting.

MCABC chose to use WordPress as the front end to the Wild Apricot database. NewPath developers created a bespoke WordPress theme with the brand assets and mockups provided by MCABC's brand agency. The new MCABC website included a features aligned to the business objectives of the organization:

  • single sign on website capability using Wild Apricot contact and membership credential
  • member self-service portal to renew membership, edit profile, access to event and financial records
  • support for both business and individual memberships with self-service joining capability
  • a Members Hub, accessible to active members
  • an integrated jobs database with scheduled postings and approval workflow for members (free) and for paid postings for non-members
  • ecommerce integration to sell courses, events and various books and digital materials, all powered by the Wild Apricot online store
  • online advertising system to place text and image banner ads on a defined schedule from one or more sponsors

Here are some highlights of the new features available on the new MCABC website:

The 2020 Annual Golf Classic was a big success, with registration management run using the Wild Apricot event system. Over 150 members joined the event. As this event was held in person during the COVID-19 pandemic, health questionnaires were deployed and collected online successfully. A post event survey collected information using a WordPress-powered form builder. All of the content is maintained by MCABC operational and marketing staff with ongoing care plan support by NewPath consulting database and website experts.

Why use WordPress for a front end to Wild Apricot?

 
WordPress is a fantastic platform to build websites.

 WordPress powers over 30% of all websites on the Internet, due to its ease of use, fantastic selection of pre-made and custom themes and thousands of "plugins" or extensions to the core product. It is one of the most adaptable and well-supported Content Management Systems (CMS) out there, and it functions as a terrific "front-end" to the capable Wild Apricot membership management system. In this project the jobs manager and the advertising system are implemented with WordPress plugins to extend new benefits to members not normally available in Wild Apricot.

Large and Small Companies Use WordPress

Many well-known companies use WordPress as their web platform, including The New Yorker, The Official Star Wars Blog, MTV News, and The New York Times Company, just to name a few. The organizations that use WordPress implement an online brand that is distinctive from any other site on the Internet, and you don't even need to see a logo to find out which site you're on.

Instead of the limited set of themes and customizations available in Wild Apricot's website editor, WordPress gives you access to tens of thousands of themes. In MCABC's case NewPath built a bespoke theme, customized specifically to the approved brand guidelines and assets. The brand redesign was executed in collaboration between MCABC executives and Another Blank Page, a Vancouver-based design agency.

WordPress Grows With Your Organization

The integration with Wild Apricot allows you to enable members to login to your site with their email and password assigned to the Wild Apricot contact. This link enables WordPress to know information about your members including whether they are a contact or a member. WordPress also knows each member's membership level and status and can serve content in a variety of ways specifically to them. In short, member benefits can easily be extended with functionality well beyond what Wild Apricot offers out of the box. Having easy access to tutorials, free products, and a thriving support community makes  it easy to build and maintain a WordPress site.

WordPress Offers an Affordable, Reliable, and Responsive Design

WordPress themes are responsive out of the box and look great on any mobile device. The MCABC site has a special responsive design that changes how the website looks on mobile to suit a smaller screen size. Responsive theming has become a must in design, so most themes are designed with that capability baked in. In MCABC's case, we made it easy to insert Wild Apricot "gadgets" to insert content from the Wild Apricot platform such as a member directory or an event calendar, or even a landing page for an event.

WordPress is one of the most versatile platforms to develop your web presence with ease. Coupled with Wild Apricot, the combination is amazingly easy to use yet powerful!

Introducing Wild Apricot Automation Manager (WAAM)

Wild Apricot is a turnkey solution that does a lot out of the box. But Wild Apricot cannot possibly implement every possible scenario that a customer may have. The Wild Apricot team has provided the necessary tools to build your own automation scenarios. These tools includes the Wild Apricot API and the Wild Apricot module in Integromat as well as any 3rd party APIs of other systems like MailChimp, Google Calendar or Microsoft Excel in Office365 and hundreds of other applications.

NewPath is delighted to introduce the Wild Apricot Automation Manager: a collection of ready made Integromat scenarios that you can reuse in minutes! You can use these:

  • to address a limitation of Wild Apricot's core functionality
  • to add new functionality to Wild Apricot by adding another system or several
  • to speed up and make less error-prone a set of repeated tasks done in Wild Apricot

Building scenarios requires a free or paid Integromat account as well as a general understanding of visual workflow design that Integromat scenarios employ. Knowing some basic programming like conditional flow control and data parsing helps a lot, too! Most Wild Apricot customers don't have these skills so NewPath has designed a ready set of scenarios that you can reuse quickly.
