About Denver Ballet Guild
The Denver Ballet Guild is a non-profit, all-volunteer organization that supports the dance arts in the Colorado community and has served the community for more than 35 years. The Guild directly impacts the community through outreach programs that benefit Colorado youth. Denver Ballet Guild's goals include promoting excellence in performance, increasing the size of dance audiences, and encouraging dance creativity and diversity in our community.
The Challenge: Engaging Members and Painless System Management
Denver Ballet Guild wanted to engage their members, become more organized and make member management easier to manage. They chose Wild Apricot as their target membership management system, migrating away from Drupal and CiviCRM which were deemed as too complex to manage by volunteers who don't have deep technical skills.
The new website and membership management system has enabled Guild members to stay up to date with detailed announcements featuring photos of social, youth, and program events. The website features an online directory of members and individual groups while maintaining Guild family memberships known as "membership bundles."
The migration was the perfect opportunity to 'scrub' the Guild's membership database. The Guild now can easily tell who needs to be renewed and who has lapsed. The system can automatically notify members about membership renewals and upcoming events. Guild directors and volunteers can see how their members are opening and clicking on marketing and membership email campaigns. And all correspondence and changes are centrally managed and accessible on any computer. Having a "single source of truth" eliminates the previous hassle of individual board members storing personal data and information on their own computers. All Denver Ballet Guild staff, volunteers, members and guests can now review and update their profile information, renew their membership, register for events and engage with the organization in a transparent and seamless way.
Up and Running with Concierge-level Support
NewPath helped Denver Ballet Guild design their website. If content or gadgets didn’t fit Ruth from NewPath stepped in and explained why and fixed it. Denver Ballet Guild staff didn’t have to call Wild Apricot online support or wait for answers. Ruth was just always a message or Zoom web conference away, everyday walking the project team through Wild Apricot features.
Once the website was built, volunteer Denver Ballet Guild members went over the site in a focus group. For example if there was confusing text, system text that didn't make sense or too much on a page, NewPath helped fine tune the site. During weekly meetings held by web conference, the team continued to refine the whole solution, and Alex helped migrate all legacy membership data from CiviCRM into Wild Apricot's database. NewPath worked on the technical parts of our membership database as well as setting up all our security (SSL) and payment processing system.

Denver Ballet Guild, which is over fifty years old, had thousands of contacts and had been moved several times to various computer systems before our move to Wild Apricot. This constant shifting made many of the database contacts out of date, as well as complicated to migrate. New Path also made sure the site compatible with mobile devices.
